Book Retrieval and Contact-Free Pick Up

New for fall 2020, GW students, faculty and staff, as well as alumni or visiting scholars with borrowing privileges may request books or physical materials for contact-free pick up in the entrance lobby of Gelman or at VSTC Library.

How does book retrieval and pick up work?

Step 1: A GW student, faculty, staff, alumni with borrowing privileges or visiting researchers with borrowing privileges finds an available book through the library catalog.

Step 2: The individual places a request for that book, indicating that they would like to pick up the book.

Step 3: A library staff member retrieves the book from the stacks and the requester receives an email stating that their book is ready for pick up. The email includes the link to schedule the pick up.

Step 4: The requester schedules a time and a place (Gelman or VSTCL) for pick up.

Step 5: Library staff check the book out to the patron the day of their appointment.

Step 6: At the time of the appointment, the requester comes to the designated library for book pick up. Procedures differ at each library, so please read the instructions in the confirmation email. 

Step 7: At the designated pick up location, the requester shows their GWorld or driver's license and is given their materials (already checked out to them) in a plastic bag. 

Who can request books for pick up?

GW students, faculty, staff, alumni with borrowing privileges and visiting researchers with borrowing privileges may request books or physical materials for contactless pick up in the entrance lobby of Gelman Library.

What if I don't want to come to campus?

GW students and faculty can have their books mailed to them whether they are around the corner or on the other side of the world. Requesting a book for delivery (instructions)

How do I return books?

Materials can be returned to the Gelman or VSTCL book drop or returned by mail. Find out more about returning books

How do I request a book to be sent to my home?

1) Enter your search term into either the search box on the library website or directly into the catalog.

2. Click on "sign in" from the yellow banner at the top of the page to see all of your borrowing options.

3. Click on "All other GW schools and institutes" to complete the sign in process. If your primary affiliation is any other choice, please contact your primary library (Jacob Burns Law Library or Himmelfarb Health Sciences Library) for information on requesting books through them.

4. Click on the title of the book you'd like to request.

5. Check the Availability section for access options: 

  • If it shows, "Borrow Item," you may request the entire book for pick up or home delivery.
  • If it says, "Chapter/Article Request" you may request up to one chapter of that book be digitized and emailed to you.
  • If it says, "Interlibrary Loan Request," you may request the entire book for pick up or home delivery. (Please note: this process may take longer than other options since we will be requesting that item from another library. 

6. Click "Borrow Item."

7. From the pop up request window, click on the arrow beside "Pickup/Delivery Option."

8. Select "GW Home Delivery."

9. If there is a date after which you no longer want the book, please add that date under "Not needed after."

10. Enter your delivery address into the field indicated and press "Send Request."

11. A field will appear to note that your request was successfully placed.

How do I request a book to pick up?

Follow steps 1-7 above. 

8. Select "Gelman Library (by appointment only)"

9. If there is a date after which you no longer want the book, please add that date under "Not needed after."

10. Click "Send Request."

11. A field will appear to note that your request was successfully placed. Once the item is available, you will receive an email asking you to schedule an appointment for pick up. See below for instructions on how to schedule a pick up appointment.

How do I request an appointment for pick up? 

Please note: appointments must be scheduled at least 12 hours in advance and must be confirmed by the library.

Step 1: After you have requested a book and the book has been retrieved, you will receive an email with a scheduling link. Start by clicking that link.

Step 2: The link will open a scheduling screen. Because pick up scheduling must be done at least 12 hours in advance, the first screen will likley not show any available times. Don't Panic! Click the "Next Available" button, the "Go to Date" button or use the slider at the bottom of the screen to move to your preferred date.

Step 3: Click on the green box that corresponds with the 15-minute time you'd like to schedule your pick up.

Step 4: The selected time will appear in a gray box at the bottom of the screen. Click the "Submit Times" button.

Step 5: Confirm the details of your date and time are correct and click "Continue." If they are not, click "Remove" to return to the original (step 2) screen.

Step 6: Enter your GWid number in the field and click "Submit My Booking."

Step 7: Your booking details will appear. Please note that your appointment must be confirmed by the library. You will receive an email confirming the appointment.
